School transport - Concessionary Seat Process
What is the purpose of providing personal information for the processing of Concessionary Spare Seats application?
Flintshire County Council provides transport for pupils who are entitled to free travel between home and school under the current home to school transport policy. To do this, coaches, minibuses and taxis are provided especially for school transport.
Any spare seats on this transport can be sold to pupils who are not entitled to free travel, these places are called Concessionary Spare Seats.
To assess a pupil for a concessionary spare seats a parent/guardian must make an online application providing pupil details and school requiring attendance so that an assessment can be made on whether transport available. Once an application has been processed and accepted payment of the relevant fee must be made prior to a transport pass being issued.
An application form is required for each school term.

What data will you be required to provide?
When an application for a concessionary seat is made the following information is required in order for an application to be processed:

- Title
- Contact Number
- Emergency contact number
- Email address
- Home address

- Name
- Date of birth
- Gender
- Childs permanent address
- Council tax declaration

School details
- School name
- School year
- Term required
- Bus stop / pick up point required
Following assessment of a successful application further information will be required:
- Credit/Debit card information
What this information is required for:
- To determine whether a concessionary seat is available on a school transport vehicle to the required destination.
- To inform parents / guardians on the outcome of an application.
- To schedule and arrange transport on an available school transport vehicle
- To facilitate distribution of transport pass to pupils address
- To contact parent / guardian for queries, changes to transport arrangements or emergencies.
- Credit / debit card information for the purposed of payment for transport pass
Who we share your information with?
- Authorised Flintshire County Council staff within the Integrated transport Unit for the purposes of monitoring and scheduling transport arrangements
- Authorised Flintshire County Council staff within the Contact centre for the purposes of taking payment
- Authorised transport operators (where necessary) for the purpose of arranging pupil pick up / drop off locations
- Schools/colleges to where the transport is being provided (where necessary)
How long will your data be stored for?
The information on each individual application will be held for 12 months once each application has been received.

The Council secures your personal information from unauthorised access, use or disclosure. The Council secures personal data you provide on computer servers in a controlled, secure environment utilising encrypted hardware and systems.
